TRACK COMPLAINTS & INSPECTIONS Your jurisdiction might have statutes against illegally putting up a temporary sign, selling food without a permit/license, or too many yard sales in a month – no matter the complaint, Capture can track them and attach them permanently to the offending parcel. During the complaint’s life cycle, the user can add remarks and notes, upload any needed images and documents, and schedule inspections, reinspections, and dates for public hearings as needed. Searching for the parcel will show the history of complaints on that parcel.
DOCUMENT MANAGEMENT Should a Complaint have documents that need to be kept in association with it, Capture’s Document Management is the key. Document Management allows the user to upload any file type to the complaint. The file is then connected with the complaint – open the complaint in 10 years and the documents are still there.
AUDIT TRAIL Capture can be configured at different levels for audit tracking. Depending on the level, Capture tracks changes made to cases, etc. and retains them as permanent record. The Audit Trail keeps track of Who did What, When. This process ensures accountability at every level of record keeping. Similarly, Capture tracks changes in a “change log” process that allows jurisdictions to have internal audits.
GIS/MAPS INTEGRATION Capture Land Development integrates with Esri GIS applications. This integration is built on an open architecture using Web services, OLE Automation and Open-GIS. This module was designed to realize a true and real time bi-directional link between permit and GIS Data. This aspect ensures that users in different departments have access to the most up to date mapping and P&I information. Also this eliminates redundant data entry and minimizes data entry errors. Capture GIS module is also integrated with Microsoft MapPoint for routing inspectors in the field.
AUTOMATICALLY SEND REVIEWS/SETUP HEARINGS When Reviews are done by the same person for the same case types, being allowed to route Reviews to those individuals automatically has the benefit of time savings. Users can set up Capture to automatically send the reviews and set up saves time and effort. Capture provides Business Rules to help with scheduling different actions during the complaint process including when inspections and reinspections will occur, to whom complaints should be routed, when court dates are to be held, etc. These rules help ensure the Code Enforcement process moves smoothly and things happen in a timely manner.
AUTOMATED CASE DOCUMENT GENERATION Land Development cases may need letters and prints sent to individuals related to a project. Capture LD’s Automated Case Document Generation creates designated letters for cases with default information automatically entered like Owner Name, Address, etc. These letters and prints can be printed and are stored as files on the server for later retrieval. If there is any need to add information like notes or instructions that may not be default to all recipients, the user can add these before sending it out, allowing the user to customize the letters.
NEW STREET AND CASE TYPE CREATION Streets and Land Development Case types have one thing in common, what exists right now may not be what exists in a year. Capture LD allows users to add street names to the database so they can be used as new streets are created in the jurisdiction. As well, as new types of cases come into existence, users can create other case types. This is an efficient way to keep the workflow moving while eliminating slowdowns and pauses, allowing your jurisdiction to keep up with change.
PERMISSIONS BASED To make sure the people work with the correct features, Capture ComDev is permissions-based. With permissions supervisors can have confidence that their workers are using the tools they are trained on, therefore keeping confusion and curiosity from causing problems. As workers gain more responsibility, more permissions can be opened to them.
